What Roles Should I Assign My Team Members in My Real Estate Account?

Overview

Invite your colleagues to join your team in Proof while making sure they're getting the appropriate permissions. If you're not sure whether your team members should be an admin, team member, or mortgage closing reviewer on your real estate account, read the sections below for details about each level.

❗ Important: To maintain privacy on our platform, you must either be a contact on a transaction or have a title account linked to that transaction to receive support or information from Proof Customer Support.
🎯Primary Audience: Title Agents & Lenders

When adding new members to your account, you can choose whether they're an admin, team member, or mortgage closing reviewer. If you're unsure which to select for each member, keep the following permissions in mind to ensure you're giving appropriate access to each team member.

Admin

  • Edit account name, payment details, logo, and smart routing details
  • Manage API Keys and ResWare Integrations
  • Add and remove other team members from the account
  • Place new orders
  • View other transactions created by any member of the team
  • Edit and delete draft transactions created by any member of the team

Team Member

  • Edit smart routing details within the company settings
  • Manage API Keys
  • Place new orders
  • View other transactions created by any member of the team
  • Edit and delete draft transactions created by any member of the team

Mortgage Closing Reviewer

  • View smart routing details within the company settings
  • View other transactions created by any member of the team (including drafts)

If you're wondering whether or not your colleague has activated their account, navigate to the Team tab for confirmation (available to the Account Owner and Admin level users only).

  • The Enabled status means they've created a password and can log in to their activated Proof for Title Account. No additional action is needed. 
  • The Pending status means they have not activated their account. If they're having trouble locating their account activation email, you can cancel their invitation and resend it using the instructions below:
    1. Select the Account tab to the right of their name.
    2. Select Cancel Invitation.
    3. Send a new activation link by using the Add New Team Member functionality again.
