Here's an overview of what happens to the documents and video recording files after a meeting and how to access them. The method of access for a signer, notary, or organization depends on how the transaction was created.

This content applies to all users on the Proof platform.
Transactions created by organizations
Completed documents are available to organizations that originally sent the transaction.
- If the signer pays, the business and signer receive the document once the signer makes payment.
- If the business is paying, the document is available to the business immediately after the signing.
The signer does not have to forward the completed document to the organization who sent it to them for notarization since the business already has access to the document.
Organizations can access files related to their completed transactions by following the instructions below:
Transactions created by signers
If the signer uploads the document for themselves, they can access the document after they pay for the transaction.
For signer's instructions on accessing their document, read Download or share a completed document.
Notary access to documents
A notary's access to the documents also depends on how the transaction was created and in what capacity the notary was acting.
In-house notaries (IHN)
In-house notaries can follow these instructions to access and download completed documents.
On-demand notaries (ODNs)
On-demand notaries cannot access completed documents when answering calls in the on-demand queue; they only see the the entry in their notary journal and the video in their meeting history. Follow these instructions to access and download a video.
Notaries sourcing transactions (NSTs)
If you sent a transaction to a signer, follow these instructions to access and download completed documents.
