Overview
This article details what your signers can expect during their Remote Online Notarization (RON) with Proof.
What Signers Need
- U.S. Social Security number for Knowledge-Based Authentication (KBA)
- Government-issued photo ID for Credential Analysis
- A valid email address

A device with audio/video capabilities:
- Windows or Mac computer with a webcam using a supported browser (Chrome, Firefox, Safari)
- Apple and Android mobile device (iPhone, Android phone, iPad, tablet)
Signer Steps

Starting the session:
- Signers receive an email including a link to their documents:
- Subject Line: You have closing documents ready to sign.
- They click Sign Documents Now.
- If they use a smartphone, they're directed to the app store to install the Notarize app.

Create a Proof account by entering a password when prompted. Their email address serves as their username.

Review the documents and click Sign Now to sign some of their documents before the notary meeting. Click Join Meeting on the documents that require a Notary.

Verify identity. With the help of third-party public records databases, we use (but never retain) personal information to create knowledge check questions tailored specifically to each signer. We then ask them to capture the front and back of a government-issued photo ID for the meeting with the notary. These security measures are required by law to deter fraud. Proof does not set these standards. Note: If you are using an internal notary, other options may be available. Review Identity Verification for more information.

Test tech. We ask signers for access to their cameras and microphones, and we give them the tools to check that they work properly. We automatically check their internet connection to ensure call integrity. If they have any trouble, they can check out our troubleshooting articles here.

Connect with a notary. If using the Notarize Network, signers click Let’s Get Started to move into an online waiting room. They'll wait there for a notary to pick up their call. If using one of your In-House Notaries (IHN), you set the time or date range for the meeting.
- Complete the notarization. Once connected, the notary walks the signers through the process of reviewing and signing their documents online instead of in person. Then, they're done!
