Here's how in-house notaries can change the email associated with their Proof account to retain access to their notary journal after leaving the company they've been notarizing for.
A notary journal is a record of the notarial acts performed by a notary, including the signer's signature, and the physical location (city and state) of the signer and notary at the time of the notarization to comply with certain state laws.
Notaries using Proof must retain a record of their notarizations on the Proof platform. The record includes a journal documenting certain information about the notarization and a video recording of the notarization.
The journal is automatically retained by the Proof platform and kept under the notary’s sole control.

When to do this
You may need to do this if:

You leave an organization and need to retain the notary journal under that business organization’s email, as required by state law.

You wish to be an independent contractor for Proof in the future.
You must change your email address after completing your last notarization, or your profile will not be associated with the organization's account.
The organization will retain access to the transactions.

Change your email address after you complete your final transaction.
Log in to your Proof account to complete the steps below.
- Click your initials in the upper right corner of your account.
- Select Manage my account.
- Change your email address on the Overview tab of the User profile page.
- Click Save changes.
- Verify the new email address.
Changing your email address will trigger a review of your account, and you will not be able to conduct notarizations until after the Notary Onboarding team has approved your account. Read more about notary profile changes that require review by Onboarding Team here.
