New notary disclosure field in document prep

What is this?

This feature provides a new field, Notary Disclosure, that can be added when prepping documents before sending them to Signers.

This disclosure already exists as an annotation for Notaries to place on every document requiring notarization. Now, this field can be placed on documents ahead of the notary meeting via UI document prep tools and white-text tagging.

Who does this impact?

  • Availability: Document prep across portal UIs and white-text tagging support.
  • Users:
    • Title Agents & Lenders
    • Business customers
    • Notaries sourcing their own transactions
    • Notarize Closing Operations
  • Transaction Types: Notarizations

Representative signer transaction creation

What is this?

This feature enables customers that are creating transactions to add a "Representative Signer" (someone that is signing on behalf of someone else or an entity).

The transaction creator can now indicate:

  • The Signer is a Representative Signer
  • The person or entity that the Representative Signer is signing on behalf of
  • The Representative Signer's capacity (CEO, Trustee, etc.)

Who does this impact?

  • Availability:
    • Transactions created via the API.
    • Transactions created through the Business, Title, and Lender portals.
  • Users:
    • Title Agents & Lenders
    • Business customers
    • Notaries sourcing their own transactions (NST)
    • Signers
  • Transaction Types: All Business, Title, and Lender transactions. (Including transactions initiated by NSTs.)

Mobile Web for EasyLinks

What is this?

Releasing Mobile Web for EasyLinks allows signers that are accessing an EasyLink from a mobile device to continue forward in their mobile browser rather than having to download the app.

When signers access an EasyLink on their mobile device, they’ll be prompted to select whether they want to continue in the browser on Mobile Web or download the app. Signers will be able to complete their entire transaction via Mobile Web.

There are 2 types of EasyLinks:

  • Business uploads and tags the documents (Business customers and Notaries sourcing their own transactions)
  • Signer uploads documents:
    • Notarization
    • Identity Confirmation (aka Verification of Fact)

Note: We are not supporting Signer-uploaded eSign transactions via Mobile Web with this release.

Who does this impact?

  • Availability: Signers accessing EasyLinks on their mobile device except for Signer-upload eSign transactions
  • Users:
    • Business customers
    • Notaries sourcing their own transactions (NST)
    • Signers
  • Transaction Types: All EasyLink transactions except Signer-uploaded eSign transactions

Ineligible document banner on I9 forms

What is this?

I-9s cannot legally be notarized online. This feature presents a warning banner when our system detects an I-9 form in a document upload. This warning banner appears to Signers in the document preview screen.

Who does this impact?

  • Availability: All
  • Users: Signers
  • Transaction Types: Notarization

Signer can edit

What is this?

Organization Admins can set an org default for the signer can edit toggle on documents added to new transactions. This toggle controls whether or not Signers are able to edit documents.

Previously, this toggle only controlled pre-meeting Signer Tools. This feature has been updated to control Signer Annotation Tools throughout the Notarize experience. With this release, if signer can edit is toggled OFF, Signers will only be able to take action on designations placed by the business that initiated the transaction.

Who does this impact?

  • Availability: Transactions created through the Business, Title, and Lender portals.
  • Users:
    • Title Agents & Lenders
    • Business customers
    • Notaries sourcing their own transactions (NST)
    • Signers
  • Transaction Types: All

  • Availability: All Notary Sourced Transactions except for transactions created by Notaries commissioned in Washington.
  • Users: Notaries sourcing their own transactions (NST)
  • Transaction Types: All

Moving Check ID & Alert A/V

What is this?

We are moving two Notary actions – Check ID and Alert A/V Issue – from the dropdown menu beneath a Signer’s video feed to the video feed baseplate itself. This will reduce the number of clicks required for Notaries, as well as encourage the use of the Alert A/V Issues function when there are technical issues. Additionally, we are updating the UI for credible witnesses so their identification symbols match those of Signers.

Who does this impact?

  • Availability: All Notaries
  • Users: Notaries
  • Transaction Types: All
