If You See "This Transaction Looks Like a Closing"

The short answer: If your Title or Lender organization tries to send a transaction through Ancillary Docs (or another non-closing template) and it looks like a full real estate closing package, Proof will ask you to confirm whether it's actually a closing before letting you send it.


Why you're seeing this

Closing packages (Cash Buyer, Home Equity, Loan Modification, Seller, Home Purchase, Refinance) go through dedicated closing templates that include safeguards closings require — e-recording checks, notary location requirements, and matching to notaries with closing experience. Ancillary Docs and other non-closing templates don't include these safeguards, since they're built for smaller, standalone documents.

When the documents and signers on a transaction being sent through a non-closing template look like they may actually be a closing, you'll see a prompt before you can send:

Submitting a closing through Ancillary Docs can expose your organization to liability and bypasses the safeguards above. Proof reserves the right to charge based on the closing type it detects.

How to respond

If this transaction is a closing:

Select Yes, then choose the closing type that matches your transaction:

  • Cash buyer — for buyer-side home closings without a loan
  • Home equity — for HELOCs and HELOANs
  • Loan modification — for restructuring borrower loan terms
  • Seller — for seller-side home closings
  • Home purchase — for buyer-side home closings with a loan
  • Refinance — for replacing a mortgage with a new loan

If this transaction is not a closing:

Select No, then select Send transaction to continue sending it through your original template.

You can also select Continue editing to go back and change the transaction before deciding.

  • See the prompt when sending a non-closing transaction that looks like a closing.
  • If it's a closing, select Yes and choose the matching closing type.
  • If it's not, select No and send the transaction as originally configured.
