Notarize with Proof prevents closers from sending loans until we have every last detail for a successful closing and enables hard-stops on orders if we see something wrong with the loan.
List below in alphabetical order are the most common Encompass error statuses and messages your closers might run into when placing or updating orders from Encompass to Notarize with Proof.

Status Errors
account_not_enabled_for_full_eClose
If you are attempting to place an online closing from Encompass and receive this error message, please reach out to your Proof Solutions Engineer. Your account must be configured for online closings, and there are prerequisites that must be met prior to scaling with online closings.
borrower_{borrower_id}_email_empty
The borrower’s email is empty.
borrower_{borrower_id}_email_invalid
The borrower’s email is invalid.
borrower_{borrower_id}_first_name_empty
The borrower’s first name is empty.
borrower_{borrower_id}_last_name_empty
The borrower’s last name is empty.
borrower_{borrower_id}_vesting_type_empty
The borrower’s vesting type on the Vesting Form is empty.
closer_contact_missing
The loan is missing a contact with the Closer role.
contact_{contact_id}_email_invalid
A contact’s email is invalid.
contact_{contact_id}_email_or_phone_empty
A contact’s email or phone is empty.
contact_{contact_id}_first_name_empty
A contact’s first name is empty.
contact_{contact_id}_last_name_empty
A contact’s last name is empty.
contact_{contact_id}_phone_invalid
A contact’s phone is invalid.
Contacts on the Loan are Missing Required Fields (borrowers, non-borrowers, contacts on file)
See example contact_{contact_id}_last_name_empty - A contact’s last name is empty. Also note that the field number shown does not always pertain to the field number listed under File Contacts. So the error might say Escrow Company is File contact '7', but in reality it could actually be ‘20’.
documents_finalization_failed
The finalized documents couldn’t be pushed back.
documents_import_failed
Notarize with Proof failed to pull Closing Documents. Our processing capabilities is growing more robust and we should be able to consume any documents sent to Notarize with Proof; however, sometimes errors can occur. Please reach out to your Proof Solutions Engineer if you are receiving this error when sending a closing package from Encompass.
employee_missing
The loan does not have an associated Proof account to assign the transaction to. We default to the organization’s owner if we didn’t find anything, so this should never happen.
enote_data_invalid
Notarize with Proof failed to generate a valid eNote from the data provided. When attempting to place a hybrid + eNote or Online Closing, we will throw an eNote invalid error if not all required fields to generate an eNote are filled out. The missing fields will be outlined and must be updated before clicking 'Update Order' to generate the eNote. See How to Complete a Hybrid with eNote Closing from Encompass for more information.
invalid_loan
The create/update operation failed. Either something on the loan is incorrect, order type is not supported yet, Encompass API user does not have permissions to view this loan, or something unexpected happened on Notarize with Proof.
EBS-901 permissions - current user does not have the privileges to perform this operation:
- Confirm the following to troubleshoot:
- API user has all “edit” permissions on a loan.
- The loan must also be assigned to a person that has access to Encompass Mobile Connect.
- Check the milestone that loan is in (access needed).
- User Group associated with API account – Must have both Access to the Loan Folder the Loan File is in and Edit Access to Other’s Loans.
invalid_vault_configuration
The organization placing an order does not have a vault configured. They will be unable to send orders with eNotes until a vault is configured. Please work with your Proof Solutions Engineer to confirm your eVault is configured to your Proof account and your Proof account is configured to accept eNotes from Encompass.
loan_borrowers_empty
No borrowers were found on the Loan because the borrower cards are empty.
loan_closing_date_or_scheduled_closing_date_expired

Borrower Summary - Processing: Transaction Details, the Est Closing Date is expired
OR - Closing Disclosure Page 1, under Closing information, the Closing Date is expired.
loan_estimated_closing_date_empty
The loan is missing an estimated closing date.
loan_estimated_closing_date_expired
The loan estimated closing date is in the past.
loan_has_more_than_one_borrower_pair
There are more than one borrower pair in Encompass. We currently only support loans with one borrower pair.
loan_has_more_than_2_signers
There are more than 2 signers on the Loan. We currently only support loans with 2 signers because we don’t support templates with 2+ signers (see below).
loan_has_more_than_10_signers

loan_loan_number_empty
We couldn’t find a loan number on the loan object retrieved from the Encompass API. Should never happen really.
loan_number_matches_more_than_one_transaction
More than one transaction in Notarize with Proof was found for that Lender and given loan number. If a loan already exists in Notarize with Proof, you must either re-name it or delete it (if you are trying to send a brand new loan). Confirm that if you take the above steps, you also handle the eNote for transactions including eNotes.
loan_purpose_empty
The loan is missing a purpose (converted to transaction type in Notarize with Proof).
loan_subject_property_address_empty
The loan subject property is missing an address line.
loan_subject_property_city_empty
The loan subject property is missing a city.
loan_subject_property_state_empty
The loan subject property is missing a state.
loan_subject_property_zip_empty
The loan subject property is missing a postal code.
loan_system_id_empty
We couldn’t find an id on the loan object retrieved from the Encompass API. Should never happen really.
missing_loan_number
The request’s body from Encompass to Notarize with Proof did not contain the loan_number parameter. Please confirm your loan has a loan number associated with it.
no_notarization_configuration_found
Confirm the CDO is present and named notarize_config.
non_borrower_owner_{borrower_id}_email_empty
A non-borrowing owner’s (title only signer) email is empty.
non_borrower_owner_{borrower_id}_email_invalid
A non-borrowing owner’s (title only signer) email is invalid.
non_borrower_owner_{borrower_id}_first_name_empty
A non-borrowing owner’s (title only signer) first name is empty.
non_borrower_owner_{borrower_id}_last_name_empty
A non-borrowing owner’s (title only signer) last name is empty.
non_borrower_owner_{borrower_id}_vesting_type_empty
A non-borrowing owner’s (title only signer) vesting type on the Vesting Form is empty.
transaction_completed
An update call failed because the transaction in Notarize with Proof is completed.
transaction_not_editable
An update call failed because the transaction in Notarize with Proof was sent to the signer and can not be recalled at this time.
transaction_not_found
No transactions in Notarize with Proof were found for that loan number.
unsupported_amortization_type
The loan amortization type is not supported for Online Closing, only Fixed rate loans are supported.
unsupported_closing_entities
Notarize with Proof requires an email address to consume contacts on the loan, so any contacts added via the Vesting Form in Encompass will need to have an email address added under Tools > File Contacts in Encompass. If an email address is missing, you will receive an error that says unsupported closing entities on the loan.
unsupported_loan_trustees
The loan has signers signing on behalf of a Trust on the Vesting Form. We don’t support those kind of signers yet.
unsupported_product_plan
The loan product plan is not supported for Online Closing, Plan support is dictated by mismo smartdoc standards. This configuration only applies to ARM loans.
waiting_for_documents
A yellow waiting for documents status will appear after placing or updating orders from Notarize with Proof. This status will display if the transaction was received by Notarize with Proof and there are no Closing Documents to pull. To troubleshoot, confirm 'Keep copy of document in Original Format' is checked and documents have finished uploading to the eFolder. See How to Order Documents in Encompass for more information.
