View and Manage In-House Notaries in Command Center

Audience: Organizations

The short answer: Command Center Owners, Admins, and User Managers at your parent organization can now view and manage all in-house notaries (IHNs) across your full org tree from a single Notaries page — no need to open each child org individually.


1. Open the Notaries page

Select User Management from the left navigation in Command Center, then select Notaries. This page shows every in-house notary across your parent org and all child orgs in one table.


2. Review notary details in the table

Each row shows:

  • Name
  • Compliance status — see status meanings below
  • Accepting calls — toggle showing whether the notary is currently available, plus an online/offline indicator
  • Expiry date
  • Home organization — which child org the notary belongs to

If a notary is non-compliant, their Accepting calls toggle is turned off and disabled until their compliance status is resolved.

3. Filter the list

Use the filters above the table to narrow the list by:

  • Compliance status
  • Home organization (child org)

You can also search by name or email using the search box above the table.


4. View or update a notary's details

Select a notary's row to open a side drawer with three tabs:

  • Details — home organization, role, access, and capacities (including languages spoken). Select the edit icon to make changes.
  • Notary profile — contact information, commission details, insurance details, and signature/initials/seal on file (read-only)
  • Notary documents — uploaded paper commission documents, with version history and downloads

Use Move user from the Details tab to move a notary to a different child organization, or Remove user to remove their account.


Compliance status meanings

Status
What it means
Compliant
The notary's profile meets all requirements and they can accept calls.
Onboarding in review
Onboarding is complete and the Compliance team is reviewing the profile.
Onboarding incomplete
The notary verified their email but hasn't finished setting up their profile.
Invited - email unverified
The notary was invited but hasn't verified their email yet.
Expired {date}
A required credential expired on the date shown, and the notary can't accept calls until it's renewed.

What's different in child org portals

If you manage users directly in a Business, Title, or Lender portal instead of Command Center, you'll see the same updated table and consolidated notary details drawer on your Users page — but without Command Center–only features like bulk actions or the Home organization column, since those only apply when managing notaries across multiple orgs.
