Download Completed Documents from Your Organization's Account

The short answer: You can download your notarized documents after your signer completes their meeting. Proof emails you automatically when documents are ready, and you can access them anytime from the Transactions page.

1. Open Transactions

From the navigation menu on the left, click Transactions.

2. Find Your Transaction

Locate the transaction you need and click it to open the Transaction details page.

3. Go to Documents

Select the Document tab to see all completed files.

4. Download What You Need

You can download files two ways:

  • Click Download All in the upper right corner to download all documents as a zip file.
  • Click individual document names to download specific files.

Troubleshooting Download Issues

The ZIP file won't open

Proof's Download All button packages documents into a ZIP file. If it won't open:

  • On Mac: double-click the ZIP file to extract it. If it still won't open, try right-clicking β†’ Open With β†’ Archive Utility.
  • On Windows: right-click the ZIP file β†’ Extract All, then navigate to the extracted folder.
  • If the ZIP appears empty after extraction, try downloading again β€” the file may not have transferred completely. A slow or interrupted connection can produce a corrupt ZIP.
  • As an alternative, click individual document names on the Documents tab to download each file separately as a PDF instead of using Download All.

The downloaded PDF looks blank or is missing signatures

Start by confirming whether the signature or initials in question were actually completed during the signing session β€” not just whether they appear in the downloaded file.

  • If you (or the signer) confirm the field was signed: this is usually a PDF viewer issue, not a problem with the document. Open the file in Adobe Acrobat Reader β€” browser viewers and Apple Preview don't always render the certificate checkmark or notary seal correctly. If your signers report the same issue, share the document to them directly from the Transaction details page rather than forwarding the downloaded file β€” this ensures they're opening the most current version from Proof's servers.
  • If you're not sure, or the field was not signed: contact Proof Support with your transaction ID. The signature may not have been applied to the document and will need to be investigated.

A document is missing from the transaction

  • Check that the transaction status shows Completed β€” documents are only available once every signer has finished and payment (if required) has been collected.
  • If the transaction is complete but a document is missing from the Documents tab, contact Proof Support with your transaction ID.

Summary Checklist

  • Go to Transactions in the left nav to find your completed transaction.
  • Open the Document tab to see all completed files.
  • If the ZIP won't open, download documents individually by clicking each file name on the Documents tab.
  • If a signature looks missing, confirm it was actually signed first β€” if yes, try Adobe Acrobat Reader; if no, contact Support with your transaction ID.
