Process wet-signed documents in hybrid closings

The short answer: Title agents print and collect wet-signed documents at the in-person meeting, then upload them to the transaction. Lenders can access the final package from the transaction's Documents tab.


How It Works

Lenders create the hybrid transaction on the Proof platform and add the title agent. Title agents receive an email from noreply@proof.com when the documents are sent to the signer(s). If you don't see the email, check your spam folder.

Title Agent: Print Documents

When the signers are at the in-person meeting to wet-sign documents, title agents verify that the eSign documents have been completed before printing.

The option to print eSign documents is only available after the first day of the scheduled closing.
  1. Look for an email from noreply@proof.com indicating the eSign documents are complete.
    • The link in this email provides access to the documents without signing in. Do not forward this email to anyone to protect the signers' privacy.
  2. Click Print documents.
  3. Check the Status column to confirm each eSign document is completed.
  4. Print the documents based on their status:
    • If Signed: Click Print blank wet sign documents.
    • If Not signed: Click Print blank eSign documents.
    • The documents open in a new tab.
  5. Use the browser's print function to print.

Click Print completed eSign documents to print a copy of the completed eSign documents if needed.

Title Agent: Send the Completed Package to Lender

After meeting with the signers and completing the package:

  1. Scan the wet-signed documents.
  2. Email the documents to the lender, or upload the wet-signed documents to the transaction.
  3. Send the original wet-signed documents to the lender as usual.

Lender: Access the Documents

Lenders receive an email when the title agent has uploaded the documents. Click the link in the email to open the documents directly, or follow the steps below to access the transaction in your account. If needed, you can mark wet-signed documents complete.

  1. Click Transactions from the left navigation.
  2. Open the desired transaction.
  3. Click Documents.
  4. Check the Supplementary merged documents section for the final files.

The final complete package is named Merged_Final.pdf and the wet-signed documents file is named Merged_Wet_Sign_Final.pdf.

Summary Checklist

  • Title agent: Confirm eSign documents are complete before the in-person signing meeting.
  • Title agent: Print the appropriate documents (blank wet sign or blank eSign) from the Print documents screen.
  • Title agent: Scan and upload or email the completed wet-signed package to the lender.
  • Lender: Access the final merged documents from the transaction's Documents tab.
