Audience: Organizations

The short answer: Proof gives organizations two ways to remind signers about upcoming transactions — automatic reminders sent on a set schedule, and manual reminders you can send at any time with a personal note.


How automatic reminders work

Automatic email reminders are:

  • Controlled at the account level — not per transaction — by the Proof team.
  • Sent on a standard delivery schedule optimized for engagement.

Signers can unsubscribe using the link at the bottom of each reminder email. You can disable automatic reminders by submitting a request to the Proof Support team.

If Proof emails are suppressed:

  • The sender, signer, and real estate contacts (if applicable) will still receive an email when the transaction is complete.
  • Automatic reminder emails are not sent.

You can also send manual reminders at any time.


Business transactions

Each automatic reminder for business transactions is sent based on when the transaction was sent to the recipient(s). If the transaction has been sent and is in any status except complete, reminders are sent at the following intervals after the transaction was sent:

  • 6 hours
  • 24 hours
  • 48 hours

Real estate transactions

A maximum of 3 reminders are sent to recipients on the transaction — including signers and real estate contacts, but not CC contacts.

Reminders are sent in relation to the activation date:

Timing in relation to activation date Time of day reminder is sent
3 days prior 1am Eastern Time
1 day prior 1am Eastern Time
The morning of* 1am Eastern Time
The evening of 7pm in transaction's time zone

*Only sent to signers, not real estate or CC contacts.

Example: If the transaction's activation date is June 18, reminders will be sent on the following dates and times:

  • First reminder: June 15 at 1am ET
  • Second reminder: June 17 at 1am ET
  • Third reminder: June 18 at 1am ET
  • Final reminder: June 18 at 7pm in the transaction's time zone

Because reminders are based on the activation date, some may be skipped. For example, if you schedule a transaction to activate in 2 days, the first reminder (3 days prior) will not be sent.
