Get a Document Notarized with Two or More Signers

The short answer: If your document requires more than one signer, Proof offers three flexible signing methods to accommodate everyone involved. Each signer will need a valid photo ID, a U.S. SSN or ITIN, and a device with audio and video.


1. Signing Methods

Method
Description
All signers meet in the same session on a single device. Everyone is physically in the same room and joins the notary meeting together.
All signers join the same notary session simultaneously from separate devices. Everyone is in different locations but completes the signing at the same time.
Signers meet with a notary in separate sessions at different times. This is ideal when signers are unable or unwilling to join at the same time.

Technical Capacity: A single meeting can support up to 10 connected devices. This includes one notary and one primary signer. The remaining slots can be any combination of additional signers, witnesses (max 2), or real estate contacts.

2. Requirements for Each Signer

Each participant will generally need the following:

  • Identity Verification: A U.S. Social Security number or ITIN for Knowledge-Based Authentication (KBA). If you don't have these identifiers, you may be prompted to use biometric selfie verification instead.
  • Valid Photo ID: A government-issued ID for credential analysis.
  • Contact Info: A U.S. address and a valid email address.
  • Technology: A device with functional audio and video capabilities.

Some documents have specific ID requirements. Always follow the instructions provided with your document or review the list of acceptable forms of ID.

3. How to Get Started

1. Upload and Invite

Upload your document here to begin. Enter your email and create a password to get started.

2. Add Signers

When asked who needs to sign, select Multiple People. Then provide the email addresses for all additional signers. You can click Add Another Signer to include everyone involved.

Important: Signer details (including email addresses and notarization requirements) cannot be changed after this step. If an error is made, you will need to delete the current transaction and start over, provided no signers have joined a meeting yet.

3. Signers Receive Invitations

Each signer will receive an automated email with a unique link to access and complete the document.

Pro tip: If signers join from different devices, they can leave the meeting once their portion is complete. If a signer loses their connection, the remaining participants can continue — the disconnected signer can finish their portion in a separate session later.

4. Payment and Completion

To keep things simple, the last signer pays the total transaction fees at the end of the final session. This ensures that fully notarized documents are released to all parties immediately upon completion.
