The short answer: The Notarize with Proof Encompass integration supports hybrid closings, hybrid with eNote closings, and online closings submitted through the Proof custom input form. The requirements below must be met before onboarding onto the integration.
See Connect Encompass to Notarize with Proof for more information about getting started.
Requirements and Expectations
Before going live with the Encompass integration, the following requirements must be in place:
- Notarize with Proof must collaborate with the lender (normally the Encompass Super Admin) to configure the integration in both UAT and Production Encompass environments.
- Notarize with Proof must inspect sample closing document packages and fine-tune document templates during testing. Closers will need to test the integration with packages that mirror Production loans before going live.
- The lender must thoroughly test the integration and train its closing team. Proof provides training resources.
- ICE Mortgage Transactions must provision API keys — allow 3–5 business days for this step.
- The lender's IT team does not need to participate, but the integration requires tight collaboration and communication between the lender and Proof.
Current Validations
The following validations are enforced by the integration and must be met for orders to process correctly:
- Phone numbers and email addresses must be properly formatted.
- Notarize with Proof pulls File Contacts from Encompass. All File Contacts must have an email address. See Map File Contacts from Encompass to Notarize with Proof for more information.
- A maximum of two borrower pairs and two signers per document are supported.
- Each signer must have a unique email address (for Hybrid transaction types).
- ICE Mortgage Technology documents must be generated in Encompass and ordered to the eFolder in Encompass.
- Notarize with Proof can only pull original versions of documents saved in Encompass. See Order Documents in Encompass for more information.
- Under Encompass Settings > eFolder Setup > Document Conversion, "Keep copy of original format" must be checked globally.
- When adding documents individually to the eFolder, this setting must also be checked for each placeholder under Encompass Settings > eFolder Setup > Documents. If unchecked, it overrides the global setting and the document will not be pulled to Notarize with Proof. This setting only needs to be checked once per placeholder.
- The Proof Onboarding team cannot template scanned documents, but can template custom documents provided by the lender.
